How We Work: NDA, Payment Terms, Mold Ownership & Factory Audits
Working with Hongqing, every step is agreed in advance. From the NDA, quote and tooling to production and shipment, what happens, what you receive and how you pay are all written down before work starts. You own the mold and the design, and you're welcome to audit the factory or inspect goods at any time. Our Sales Manager, Coya Xiang, is your single contact and replies within one business day.

How we work
Eight steps from the first email to shipment
OEM projects start with your files and ODM projects with your idea; after that the process is the same.

Sign an NDA (optional)
If you wish, we sign an NDA before you send drawings, samples or product information.

Send your files
3D files, drawings, sketches or a short product description, sent through the quote form or by email.

Reply within 1 business day
Our Sales Manager confirms your requirements and tells you what else the quote needs.

Written quote and schedule
You receive a development plan, a written quote in US dollars for the mold and unit price, and a project schedule; tooling projects include our DFM review first.

Contract and deposit
The contract states deliverables, schedule and mold ownership; tooling starts after a 50% mold deposit, and parts orders take a 50% deposit.

Sample approval
Prototypes or T1 samples are sent to you and adjusted if needed until you approve them.

Production and inspection
Production to the approved sample; sampling inspection per GB/T 2828.1 (ISO 2859-1) AQL or your standard, and third-party inspection is welcome.

Balance and shipment
The balance for the parts is paid before shipment; we ship FOB or EXW, or arrange sea, air or express delivery for you.

We sign NDAs
Before you share drawings, samples or product information, we can sign a non-disclosure agreement.

You own the mold and the design
The mold is yours by contract and you can take it with you; once design fees are paid, the files and IP are yours.

Audits & inspections welcome
Visit us yourself or send a third party to audit the factory and inspect goods. Can't travel? We'll run a video audit.

No hidden subcontracting
Tooling, molding, finishing and assembly happen in our own factory; if a process must be outsourced, such as electroplating, we tell you first.

When I work with Hongqing, am I dealing with the factory or a middleman?
Hongqing is the factory: founded in 2000, with its own 20,000 m² site in Qiaotou, Dongguan. Working with Hongqing, you deal directly with the team that makes your product. The mold shop, molding floor, painting and printing lines, assembly workshop and QC room are all on one site, and our own teams handle tooling, molding, finishing and assembly with no middleman in between. You are welcome to verify this with a factory visit or video audit before working with us, or to send a third party to audit us.
Can we sign an NDA before working together, and how does it work?
Hongqing can sign a non-disclosure agreement (NDA) before you send any drawings, samples or product information. The process: tick the NDA box on the quote form or email our Sales Manager, Coya Xiang; we send you the agreement; you send drawings once both sides have signed. After that, quotes, samples and changes are all confirmed in writing by email or chat. Tooling, molding, finishing and assembly happen in our own factory, your files are never passed on without your knowledge, and any outsourced process, such as electroplating, is disclosed in advance.
How are mold and production payments split when working with Hongqing?
With Hongqing, the mold and the production order are paid separately. Tooling starts after a 50% mold deposit, with the remaining mold payment milestones written into the contract; production orders take a 50% deposit, with the balance paid before shipment. All quotes and contracts are in USD, and you can check amounts, lead times and payment milestones line by line before signing. Design projects are quoted and approved stage by stage. The contract states that the mold is yours and that the files and IP become yours once the design fee is paid.
What's the difference between FOB and EXW, and can Hongqing arrange shipping?
Hongqing can quote FOB or EXW and can also arrange shipping for you. Under FOB, we deliver the goods to the port of loading in China and handle export clearance, and you cover freight and insurance from there. Under EXW, you or your forwarder collect the goods at our Dongguan factory, and the buyer handles export formalities. If you want us to arrange shipping, we can do sea, air or express: samples and small batches usually go by express or air, bulk orders by sea. Tell us the destination and timing when requesting a quote, and we will give you the cost and transit time.
Can a third party audit the factory or inspect goods?
Hongqing welcomes you or a third party you appoint to audit the factory and inspect goods. Pre-shipment inspection can take place on site, and if you can't be there in person, we can arrange a video audit. Shipment sampling follows GB/T 2828.1 (equivalent to ISO 2859-1) AQL or your own standard, with AQL levels confirmed in writing before the order. Before the visit, send the date, number of visitors and audit scope to our Sales Manager, Coya Xiang, and we will arrange hosts and support staff.
